A practical Google review-reply workflow for Indian businesses
A useful review workflow gives each customer comment a clear owner, a factual response and a final human check. For a local business in India, that may mean working across English, Hindi and a regional language, while keeping branches and staff responsibilities separate. Begin with a manageable routine rather than a promise to automate every reply.

1. Establish the correct location and response owner
Confirm which business location the review concerns before drafting. Keep its contact details, opening hours and escalation contact in a shared internal reference. Assign someone to check new reviews regularly, and an authorized owner to approve replies. Do not copy a response between branches without checking that its facts apply.
In Brotherhood, location and workspace context determine which records are accessible. Review-reply approval requires verified workspace-owner authorization. These controls support the workflow; they do not remove the need to confirm the right branch and customer issue.
2. Separate public acknowledgements from private resolution
Thank the customer, address the point they raised and give a practical next step where appropriate. For a complaint, avoid arguing about the rating or promising a refund that has not been approved. Move account-specific details to a suitable private support channel. Never include phone numbers, appointment histories, health details or payment information in a public reply.
Synthetic example:
Thank you for flagging the delay. We are sorry the wait was frustrating. Please contact our support team through the details on our profile so we can understand what happened.
Replace generic wording only with facts your team has checked. Do not imply that a transaction or medical visit occurred merely because someone posted a review.
3. Draft in the customer's language, then review it
Use the language the customer understands. AI can help prepare a first draft, but a fluent reviewer should check tone, names, meaning and regional phrasing. Hindi or Hinglish output should not be assumed accurate simply because a model supports those languages. Remove invented explanations and unnecessary promotional language.
Brotherhood includes server-configured Sarvam AI and Google Generative AI adapters. Their availability depends on the deployment configuration and applicable credits. AI output is a suggestion for review, not an independently verified account of events.
4. Approve before sending and verify the outcome
Check the destination, final text and account permissions before approving. Approval and delivery are different states: a provider connection, permission or publishing gate may still prevent delivery. Confirm the recorded outcome before telling colleagues that a reply is public. Do not repeatedly submit an uncertain result without checking its state first.
A short weekly checklist
- Review unanswered items by location and age.
- Confirm that sensitive cases have an internal owner.
- Check a sample of replies for factual accuracy and language quality.
- Resolve connection or permission problems separately from editorial work.
- Record recurring service issues without treating review volume as proof of revenue impact.
Google provides guidance on requesting customer reviews and using review links or QR codes. Review activity does not guarantee ranking improvements. This guide is operational advice, not a change to Brotherhood's existing Review Gate.
